Purpose
This Code of Conduct establishes clear expectations for all tutors, students, parents/guardians, contractors and employees involved with MiTUTOR. Our goal is to foster a professional, inclusive, and supportive learning environment where every participant is treated with respect and integrity.
Scope
This code applies to:
All tutors, employees, and contractors of MiTUTOR.
All students enrolled in tutoring services.
Parents, guardians, or any other individual interacting with MiTUTOR on behalf of a student.
It covers all tutoring sessions (in-person, online, or hybrid) and any communication via company channels (email, messaging, learning platforms, etc.).
Core Values
Respect – Treat everyone with dignity, regardless of background, ability, or learning pace.
Integrity – Be honest about qualifications, progress, and any concerns.
Professionalism – Maintain appropriate boundaries, punctuality, and preparation.
Safety – Prioritise physical and emotional safety in all interactions.
Commitment to Learning – Strive for continuous improvement and academic honesty.
Tutor Responsibilities
In summary, tutors must:
Arrive on time (or log in early) for each session and notify the company/parent of any unavoidable absence in advance.
Prepare lesson materials aligned with the student’s learning goals and curriculum.
Maintain professional boundaries – avoid sharing personal contact details, meeting students outside scheduled sessions, or engaging in any romantic or inappropriate relationship.
Refrain from doing a student’s homework, assignments, or exam answers. Support independent learning instead.
Keep all student information confidential (grades, learning challenges, personal data) unless required by law or parental consent.
Report any suspected abuse, neglect, or safety concerns to the company’s designated safeguarding officer immediately.
Use inclusive, respectful language and never discriminate on grounds of race, gender, religion, disability, sexual orientation, or socioeconomic status.
Key Elements
Compliance with law
All employees, tutors, contractors and associates must protect our company’s legality. They should comply with all environmental, safety and fair dealing laws. We expect employees, tutors, contractors and associates to be ethical and responsible when dealing with our company’s finances, products, partnerships and public image.
Respect in the workplace
All employees, tutors, contractors and associates should respect their colleagues. We will not allow any kind of discriminatory behaviour, harassment or victimisation. Employees, tutors, contractors and associates should conform with our Equality, Diversity and Racial Discrimination Policy in all aspects of their work, from recruitment and performance evaluation to interpersonal relations.
Protection of Company Property
All employees, tutors, contractors and associates should treat our company’s property, whether material or intangible, with respect and care.
Employees, tutors, contractors and associates shouldn’t misuse company or client’s equipment or use it frivolously. They should respect all kinds of incorporeal property; this includes trademarks, copyright and other property (information, reports etc.). Employees, tutors, contractors and associates should use them only to complete their job duties.
Employees, tutors, contractors and associates should protect company and client’s facilities and other material property (e.g. company cars) from damage and vandalism, whenever possible.
Professionalism
All employees, tutors, contractors and associates must show respect, integrity and professionalism at all times when working with students, parents, or fellows colleagues.
Personal appearance and Punctuality
All employees, tutors, contractors and associates must dress appropriately for their role. Tutors are expected to be on time for all sessions and appointments with learners, parents, and fellow tutors.
Corruption
We discourage employees, tutors, contractors and associates from accepting gifts from clients. We prohibit briberies for the benefit of any external or internal party.
Job duties and authority
All employees, tutors, contractors and associates should fulfil their job duties with integrity and respect toward our clients and the community. We expect employees, tutors, contractors and associates to follow instructions and complete their duties with skill and in a timely manner.
Absenteeism and tardiness
Employees, tutors, contractors and associates should follow their schedules. We expect employees, tutors, contractors and associates to be punctual when attending client appointments.
Conflict of interest
We expect employees, tutors, contractors and associates to avoid any personal, financial or other interests that might hinder their capability or willingness to perform their job duties.
Collaboration
Employees, tutors, contractors and associates should be friendly and collaborative. They should try not to disrupt the workplace or present obstacles to their colleagues’ work.
Communication
All employees, tutors, contractors and associates must be open for communication with MiTUTOR, other associates and clients.
Policies
All employees, tutors, contractors and associates should read and follow our company policies. If they have any questions, they should ask for clarification.
Disciplinary actions
MiTUTOR may choose to no longer offer work to employees, tutors, contractors and associates who repeatedly or intentionally fail to follow our code of conduct. We may take legal action in cases of corruption, theft, embezzlement or other unlawful behaviour.
Student Responsibilities
Students agree to:
Attend sessions on time and notify the tutor/parent in advance if unable to attend.
Come prepared with necessary materials (books, questions, completed work).
Treat tutors and other students with courtesy – no abusive language, harassment, or disruptive behaviour.
Complete assigned work honestly; plagiarism or cheating is prohibited.
Respect the tutor’s time and expertise – ask clarifying questions but avoid unnecessary interruptions.
Use online session tools appropriately (e.g., no recording without explicit permission, no distracting chat behaviours).
With respect to MiTUTOR tutor centres, MiTUTOR is committed to providing a supportive and productive learning environment for all students and tutors. To ensure a positive experience for every student and tutor, we have established this Code of Conduct that outlines the expected behaviour and responsibilities of all individuals using our services.
We ask that you adhere to these guidelines to create a safe and respectful environment and a conducive learning atmosphere for learning.
Cell phones and Distractions
No cell phones are allowed in the classroom. If the student needs the cell phone for matters with regards to transportation his/her phone must be turned off and put away in his/her school bag. Distractions must be minimised during tutoring hours. In case of emergency parents are allowed to contact MiTUTOR directly. We do not take responsibility for any loss with regards to students losing their cell phone. Cell phones will be confiscated if students use them while facilitation is taking place.
Cleanliness
Tutors and Students are responsible for maintaining a clean and organised workspace within the Tutor Centre. The classroom and bathrooms are to be kept clean and tidy at all times after each use.
Food and Beverages
To preserve the condition of educational materials, food and beverages are only allowed at given break times at MiTUTOR. Not during tutoring sessions.
Disruptive Behaviour
Disruptive behaviour will not be tolerated, the student will be given 3 written warnings and if the disruptive behaviour still continues after 3 warnings were given, parents will be contacted and further steps will be taken.
At MiTUTOR, we have a ZERO Tolerance for bullying. We see this as a VERY important matter. Any form of bullying, whether it is verbal or physical, will NOT BE tolerated.
MiTUTOR strives to provide a friendly and safe environment for our students.
Consequences and violations
Violation of this Code of Conduct may result in consequences, including but not limited to verbal warnings, suspension of tutoring privileges, or referral to the appropriate disciplinary authority.
Disciplinary Procedure
Verbal warning will be given to the student and the parents will be informed.
Two written warnings will be given to the student and the parents will be informed.
Final suspension.
Grounds for Suspension
The following can lead to suspension with immediate effect:
Disrespect towards tutors and fellow students.
Smoking, Vaping or having possession of drugs.
Any form of bullying
Any form of language used in an ill manner.
Vandalising the centre and the centre’s property.
Any form of unacceptable behaviour.
Parent / Guardian Responsibilities
Parents/guardians agree to:
Provide accurate information about the student’s needs, learning difficulties, and any relevant medical/emotional conditions.
Ensure the student has a quiet, safe space for online sessions or reliable transportation for in-person tutoring.
Communicate any schedule changes or concerns to MiTUTOR, not directly to the tutor outside of approved channels.
Refrain from demanding grade guarantees or requiring the tutor to complete the student’s work.
Respect the tutor’s professional judgment and avoid verbal abuse or threats.
Pay all fees promptly according to the agreed schedule.
Prohibited Conduct
The following are strictly forbidden for all parties:
Harassment or bullying – including sexual, racial, or any form of personal attack.
Discrimination – denying service or showing favouritism based on protected characteristics.
Academic dishonesty – writing papers, taking tests, or falsifying records.
Inappropriate contact – unsolicited gifts, physical contact without consent, or private social media connections.
Breach of confidentiality – sharing session recordings, student work, or personal information without permission.
Use of alcohol, drugs, or intoxication during tutoring sessions.
Recording sessions without explicit written consent from all parties (tutor, student, parent).
Online Tutoring & Technology Rules
Use only company-approved platforms for sessions and communication.
Keep login credentials secure; do not share access with unauthorised individuals.
Mute microphone when not speaking to minimise background noise.
Dress appropriately and ensure a professional background for video sessions.
Report any technical issues or suspected security breaches immediately.
Reporting Violations
If you witness or experience a violation of this Code of Conduct:
Students/Parents – Contact the Tutoring Director or HR at tutoring@mi-tutor.co.za.
Tutors – Report to your direct supervisor or the compliance officer.
All reports will be handled confidentially and without retaliation.
Consequences of Non-Compliance
Violations may result in one or more of the following, depending on severity:
Verbal warning and required retraining.
Written warning and probationary period.
Immediate termination of tutoring contract (for tutors or students).
Permanent ban from MiTUTOR’s services.
Referral to law enforcement or child protective services if illegal conduct occurs.
Acknowledgment
All tutors, students (age 18+), and parents/guardians must sign and return this Code of Conduct before commencing services.
